WhatsApp Business API or a WhatsApp Web connection? What businesses should know
Updated: · 6 min read · Xaly Editorial Team
The WhatsApp Business API (officially the WhatsApp Business Platform) is the Meta-approved route that opens a number to software, teams and automation, in exchange for following Meta’s approval and template-message rules. A WhatsApp Web-style connection via QR code links your existing number to software in minutes, but it is not an official integration and carries a risk of the number being restricted. For a long-term channel that will grow and carry campaigns, choose the official route; for a quick start at low volume, a QR connection can work if you accept the risk.
What is the difference between the Business app, the Business API and WhatsApp Web?
These three are often confused. The WhatsApp Business app is the free app you install on a phone; it lets a small business message customers from one number and can also be used on a few linked devices. WhatsApp Web is the browser companion of that app: it mirrors the phone account on a computer via a QR code.
The WhatsApp Business Platform, usually called the Business API, works without the phone app. Messages flow straight into software, several agents can use the same number at once, replies can be automated and conversations can be linked to customer records. A so-called QR connection is software opening a WhatsApp Web session on your behalf: it uses the linked-device feature, not the official platform.
How does the official WhatsApp Business API work and what does it require?
To use the official platform you need a Meta business account, a phone number registered to the platform and Meta’s approvals. Your display name is reviewed, and Meta may ask for business verification. You connect either directly through Meta or via a software provider.
The key rule is the messaging window. After a customer messages you, you can reply freely for 24 hours. Outside that window, or when you contact a customer first, you must use a template message approved by Meta in advance. Template messages may be charged under Meta’s own pricing, so always check the current terms on Meta’s official pages.
- A Meta business account and, if requested, business verification
- A number that can be verified by SMS or voice call and registered to the platform
- Approved templates for first contact and messages outside the 24-hour window
- Customer opt-in to be contacted on WhatsApp
What is a QR-code WhatsApp Web connection and what is the risk?
With a QR connection, software is added to your number as a linked device and reads and sends your messages. The advantages are obvious: there is no approval process, your existing number and chat history stay as they are, and rules such as mandatory templates do not technically apply.
The downside is just as clear: this is not a business integration that WhatsApp officially offers. WhatsApp can restrict numbers it sees behaving unusually, temporarily or permanently, and unsolicited or bulk messaging increases that risk. If the phone stays offline for long or the session drops, the connection can break. Restrictions are WhatsApp’s decision and a software provider cannot reverse them, so this route should only be used when the business explicitly accepts the risk.
Businesses choosing this route cannot remove the risk, but they can reduce it: only reply to customers who message you, never send bulk or unsolicited messages, avoid messaging people who have not saved your number, keep the pace of messages to what a person could type, and keep the linked phone online regularly.
Which one should my business choose?
The answer depends on how critical the number is and how you plan to use it. Your answers to the questions below usually make the direction clear.
- Would losing the number seriously hurt the business? Then the official platform.
- Will you message customers first, or send campaigns and notifications? Then the official platform with templates.
- Will several agents and automated replies use the number heavily? The official platform is more predictable.
- Do you only answer incoming messages at low volume and want to start today? A QR connection can be considered, with the risk accepted.
- Do you need a stopgap while Meta approval is pending? A QR connection can bridge the gap, but plan to move to the official route.
What should you watch out for when setting up or switching?
Whichever route you choose, collect customer consent to be contacted on WhatsApp and give the required privacy notice. Keep messages short, expected and personal; unwanted messages lead to complaints and can trigger number restrictions.
Be clear about whose name the number is registered in and who manages it; an account tied to one employee’s personal phone becomes a problem when that person leaves. Before moving a number to the official platform, check how it can still be used in the phone app, as the options depend on Meta’s current terms. Finally, keep a fallback channel ready (phone, email or website chat) in case WhatsApp is interrupted.
If you are moving to the official platform, prepare your templates in advance. Meta groups templates into categories such as marketing, utility and authentication; writing and submitting the messages you send most often, such as appointment confirmations, order updates or quote reminders, avoids delays on day one.
How does the Xaly inbox handle both WhatsApp options?
The Xaly inbox supports both connections: you can link your number through the official WhatsApp business account or by QR code. With the QR route the risk of number restrictions sits with the business and is explicitly accepted during connection.
Either way, WhatsApp messages arrive on the same screen as Instagram, Facebook Messenger, Telegram, email and website chat. The AI assistant replies from your knowledge base and hands sensitive or uncertain conversations to your team.
Frequently asked questions
Is the WhatsApp Business API free?
On the official platform some message types, especially template messages, may be charged under Meta’s own pricing, and the software you use may have its own fee. Check Meta’s current terms on its official pages. For Xaly plans, see the pricing page.
Can I use the same number in the phone app and the API?
That depends on the options Meta offers at the time and on your number’s situation; in some cases the number has to be removed from the phone app. Check the current terms and back up your chat history before switching.
What happens if my number is restricted on a QR connection?
Restrictions are decided by WhatsApp and appealed through WhatsApp’s own process; a software provider cannot lift them. That is why a QR connection should only be used with this risk explicitly accepted.
Which option is right for bulk messaging?
For bulk or first-contact messages, use the official platform with approved templates, and only message people who have opted in. Bulk sending over a QR connection is the use that most increases the risk of restriction.
Which WhatsApp connection can I use with Xaly?
Both. You can connect with the official WhatsApp business account or with your own number by QR code; with the latter, the risk of number restrictions is yours and is explicitly accepted during setup.
