How do you set up multilingual customer service?

Updated: · 5 min read · Xaly Editorial Team

To set up multilingual customer service, first use data to find out which languages your requests arrive in, then decide which channels (written messages, email, phone) you will support in each. Every language should draw on one up-to-date source of information, the customer’s language should be detected and respected, and the split of work between your team and AI should be clear. Measuring quality requires regular sample reviews in every language.

How do you decide which languages to support?

The decision should rest on data, not guesswork. Look at which languages recent form requests, emails and messages were written in, which country codes phone callers came from and which countries visit your website. This picture often reveals a language need you did not expect.

Rank languages by request volume and business value. A language spoken by a small number of high-value customers may come before a busy but low-value one. If you plan to expand into new markets, add their languages to the list as well.

Which channels should multilingual service start with?

Written channels (email, web forms, WhatsApp and social media messages) are the easiest place to start. There is time to read a message and prepare an answer, and written translation tools help. Customers are also pleased to get a fast, accurate answer in their own language.

Phone is the hardest channel, because answers must be immediate and the conversation cannot even start if nobody on the team speaks the language. Many businesses therefore answer the phone with people only in their main languages and use callbacks or a written channel for others. AI voice assistants can be used to close that gap.

How should you detect the customer’s language?

On written channels, the language is detected from the customer’s text and the reply is given in the same language. On the phone, follow the language the customer starts speaking. Assuming a language from the country code is not always right: someone calling from a foreign number may want to speak Turkish, and someone with a Turkish number may prefer another language.

If a customer explicitly asks for another language, honour it and keep it for the rest of the conversation. Saving the preferred language on the customer record means the question is not asked again next time. Offering a language choice in the greeting or menu also gives customers a sense of control.

How should you manage the knowledge base and translation?

Every language should draw on one current source of information. Keeping separate documents per language means one of them goes stale when a price or opening hour changes. Treating your main language as the source and producing answers in other languages from it is the simplest way to stay consistent.

Some content should not be left to machine translation. Legal texts such as contracts, privacy notices and return terms should be professionally translated. A short glossary for product and service names, technical terms and brand voice keeps the same wording in every language.

  • One source language and one up-to-date knowledge base
  • Professional translation for legal texts
  • A glossary for product names and terms
  • Currency, date and time formats shown per country

How do your team and AI work together?

A practical model is for AI to handle first contact in every language while your team takes over in the languages they speak. In languages the team does not speak, the assistant gives information, collects the request and leaves the team a summary in their own language. The team then understands the request without knowing the customer’s language.

Write handover rules per language: who can take over in which language, and what happens if that person is unavailable. For sensitive topics (complaints, health, legal questions) where nobody on the team speaks the language, moving to a written channel with professional translation support is safer. Keeping an up-to-date list of who can take over in which language avoids gaps during holidays and shift changes, and it should be the first document updated when a new language is added.

How do you measure multilingual service quality?

Pick sample conversations in every language regularly and, where possible, review them with a native speaker. Transcripts make this easier, but tone and naturalness require listening to the recording.

Split your metrics by language: unresolved requests, handover rate, satisfaction score and repeat callers should be tracked separately for each. When these get worse in one language, the cause is often not translation but gaps in the knowledge base for that language.

How does Xaly support multilingual service?

The Xaly AI phone assistant answers inbound and outbound calls in 27 languages and speaks the customer’s language, with no separate setup needed for international customers. The Xaly inbox brings WhatsApp, Instagram, Facebook Messenger, Telegram, email and website chat onto one screen; the assistant answers from your knowledge base and hands anything it is unsure about to your team.

When someone fills in a web form, Xaly drafts the first reply in the language they wrote in, with an English version underneath, and keeps the full text on the customer record. Quote documents are produced in Turkish, English, German or Arabic. International calling is off by default and only enabled when explicitly allowed on your account.

Frequently asked questions

How many languages should I support?

Look at the real distribution of incoming requests and start with the languages that combine the highest volume and business value. Supporting a few languages well gives customers a better experience than supporting many languages halfway.

Is machine translation good enough for customer service?

For everyday questions and written messages it is often enough. Legal content such as contracts, privacy notices and return terms, and sensitive topics, need professional translation and human review.

Should I choose the language from the caller’s country code?

Not on its own. A country code can be a hint, but the language the customer speaks or writes and any preference they state should take priority.

How many languages does Xaly speak on the phone?

The Xaly AI phone assistant answers inbound and outbound calls in 27 languages. We recommend making test calls in your target languages before setup.

How does my team understand requests in languages they do not speak?

The most practical way is for the assistant to summarise the conversation in the team’s language. In Xaly, form replies include an English version underneath and the sent text is kept on the customer record, so your team can see what was promised.
